In Spain, you are required to keep evidence of your business expenses. Companies operating in Spain using a digital expense management tool need to be compliant.

An expense management tool needs to receive a certification from the AEAT, the Spanish public administration organisation, to allow users to use digital receipts without having to keep the original paper receipts.

Rydoo has been certified by the AEAT as digitisation software for invoices and simplified invoices and has also obtained homologations from the Navarre and the Basque Country branches. Rydoo software is therefore considered as “homologated software” under Order EHA 962/2007 by the Tax Agency of Spain (our former name: Xpenditure). These certifications allow Spanish companies as well as foreign companies with subsidiaries in Spain to have a completely paperless business expense management process and, thus, get rid of the original paper receipts.

The terms and conditions of the Spanish government for Rydoo’s digital receipts are to keep the images stored for at least 7 years.

If an audit takes place, you can simply export a pdf file containing an overview of all expenses. You can learn how to create an export file in our Help Center article.
